Our Administrative offices support the mission and operations of our organization by providing oversight of core functions and processes.

Offices

Our office manages internal and external communications for the Institute. We share the research of faculty, staff, and researchers, using several platforms. We manage the public website, internal intranet, promote Institute research, create communications templates and resources, and produce print and digital publications to keep the public informed about our work. Our team also works with Harvard Medical School to maintain and process HMS appointments and promotions.

Our office provides oversight and management of training and guidance on a variety of day-to-day and other regular finance processes and operations. We oversee Institute budgets and financial reporting, including that of all internal and external awards and contracts.

Operations oversees all organizational operations and human resources related matters. We handle facilities, operations, building access, space needs, as well as office supplies and shipping. We manage the employee visa process, and oversee new hire and human resources related matters from job listings through onboarding.

Our office oversees all human research projects and compliance issues at Harvard Pilgrim Health Care and the Harvard Pilgrim Health Care Institute. Our office protects the rights and welfare of research participants and provides administrative support to our research community. We oversee compliance matters pertaining to public health surveillance and research, including, but not limited to conflicts of interest, export controls, intellectual property, IRB operations, research integrity, and the quality assurance/quality improvement program. Our human research protection program is fully accredited by the Association for the Accreditation of Human Research Protection Programs (AAHRPP), Inc.

We provide programming and analytic support for research projects of any size on a short- or long-term basis. Our programmers are proficient in the analysis and programming of a variety of data types and datasets, including medical and pharmacy claims and health plan enrollment data.

Our office oversees pre-award preparation of applications for external grant and contract funding. We also administer post-award agreements, including negotiation, financial administration, and reporting. We also serve as a resource for information and training regarding sponsor guidelines, regulations, and expectations.

Our office oversees and provides support for the Institute's information technology strategy and operations. We are the primary contact for hardware and software issues, purchases, and approvals, as well as IT security, privacy, and compliance matters.
